The Receipt Outlives the Purchase

Most receipts stop mattering the moment the return window closes. A jewelry receipt does the opposite and grows more useful with age. It is what an insurer wants when a piece is added to a policy, what a service center asks for before a movement is opened, and what a buyer wants to see years after the sale.

Because of that it is written to be filed rather than scanned. Wide paper, a readable face, no barcode, and enough labeled fields to identify the piece with confidence when the piece itself is not in front of you.

Serial Numbers, References and Certificates

Three numbers do the identifying work, and they are not interchangeable. The reference describes the model, so many pieces share it. The serial identifies one individual piece. A certificate number points at a separate grading or authenticity document held somewhere else entirely.

Keep each in its own labeled row. An insurer reading the document should be able to match it against the certificate without having to interpret a sentence, and a receipt offering only one of the three is far weaker evidence than one offering all of them.

Specification, Appraisal and Insured Value

Metal and stone specification belongs on the receipt because it is what a valuation gets calculated from. Karat, weight and stone detail all move the number an appraiser arrives at, and a policy written against a vague description tends to pay out against a vague description.

Appraisal is often charged separately from the piece and should stay that way on the document. The price paid and the value insured are different figures, and collapsing them onto one line makes the receipt harder to rely on later.

Servicing, Provenance and Legitimate Use

Service history and provenance both trace back to the original document. A watch serviced on schedule is worth more than one that was not, and the receipt is where that history starts.

Receipt Caker generates generic documents. It does not copy any maison's layout, typography or logo, and the sample loaded here is an invented jeweler. Rebuilding a record of a piece you own is legitimate. Producing a document that implies a real house sold you something it never did is fraud, and our terms prohibit it.

What is the difference between a reference and a serial number?
A reference identifies the model, so many pieces share the same one. A serial identifies a single individual piece. Insurance and servicing need the serial, while a resale listing usually quotes both.
Should the certificate number appear on the receipt?
If a certificate was issued, yes. It links the sale to the grading or authenticity document, which is normally stored separately and can go missing on its own.
Can I record an appraisal value?
Add it as a separate line rather than adjusting the price. The amount paid and the value insured are different figures and both of them matter later.
Can I use a currency other than dollars?
