How to Make an Invoice With Tax

How to add tax to an invoice, display it transparently, and reach a correct total, with a worked example.

How do I add tax to an invoice?
In Receipt Caker you enter a tax rate and it calculates the tax on your subtotal, then shows the subtotal, tax amount and total as separate lines on the invoice.
Where does tax go on an invoice?
Tax sits below the subtotal and above the grand total. You show the subtotal first, then the tax rate and amount, then the final total the client pays.

What to include on a invoice with tax

The subtotal of all line items before tax
The tax rate applied, shown as a percentage
The calculated tax amount
The grand total including tax
A tax label or reference where required
Seller and buyer details
A unique invoice number and issue date

What you can do

  • Enter a tax rate and see the tax amount calculated
  • Show subtotal, tax and total as separate lines
  • Itemise goods or services before tax is applied
  • Update the tax figure live as you edit line items
  • Export the tax-inclusive invoice as a PNG or PDF

How tax appears on an invoice

A tax-bearing invoice separates the pre-tax subtotal, the tax and the final total. Showing these as distinct lines makes the calculation transparent and easy for the client to check.

You state the tax rate as a percentage and the resulting tax amount in currency, then add it to the subtotal to reach the grand total.

A worked example

Suppose your line items add up to a subtotal of 200. If the tax rate is 10 percent, the tax amount is 20, and the grand total is 220.

On the invoice this reads as Subtotal 200, Tax 10 percent 20, Total 220. The client can see exactly how the final figure was built, which reduces questions.

Receipt Caker performs this calculation for you once you enter the rate, so you never work out the tax by hand.

Getting the rate right

The correct tax rate depends on your location, your registration status and what you are selling, so check the rules that apply to your situation. Different goods or regions may carry different rates.

If tax does not apply to a sale, you can set the rate to zero or omit tax entirely, and the total simply equals the subtotal.

Building it in the generator

In Receipt Caker you itemise your goods or services, then enter a tax rate. The tool calculates the tax on the subtotal and displays the subtotal, tax and total on the live preview.

When the figures are correct, export the invoice as a PNG for free or as a watermark-free PDF on Pro. The tool handles the maths and layout; it does not file or remit tax on your behalf.

Frequently asked questions

How is the tax amount on an invoice calculated?
You multiply the pre-tax subtotal by the tax rate. For example, a subtotal of 200 with a 10 percent rate gives 20 in tax, for a total of 220. Receipt Caker does this automatically once you enter the rate, showing the subtotal, tax amount and grand total as separate lines.
Should tax be shown as a separate line?
Yes. Showing the subtotal, tax rate, tax amount and total as separate lines makes the invoice transparent and easy to verify. It also helps with record-keeping. Receipt Caker lays these out for you so the client can see exactly how the total was reached from the pre-tax amount.
What tax rate should I use?
The rate depends on your location, registration status and what you sell, and it can vary by product or region, so check the rules that apply to you. The generator does not decide the rate for you; you enter the correct percentage and it calculates the tax amount on your subtotal.
Can I make an invoice with no tax?
Yes. If tax does not apply to your sale, set the tax rate to zero or leave tax off, and the total simply equals the subtotal. Receipt Caker supports tax-free invoices as easily as tax-bearing ones; you control whether a tax line appears on the document.
Can there be more than one tax on an invoice?
Some regions apply multiple taxes, such as combined national and local rates. How you present them depends on your local rules. Receipt Caker applies the rate you enter to the subtotal; for multiple distinct taxes you may need to reflect the combined rate or note them clearly in the document.
Does Receipt Caker file or remit my tax?
No. Receipt Caker only calculates and displays the tax on the invoice based on the rate you enter. It does not file tax returns, remit tax to any authority or sync with accounting software. Reporting and paying tax remain your responsibility through your own accounting process.
