What a tax invoice is
A tax invoice is a sales document that goes a step further than a plain invoice by breaking out the tax charged on the transaction. It shows the pre-tax value, the tax rate, the tax amount and the final total so nothing is bundled together.
It also carries the seller's tax registration number. This identifies the business as registered to charge tax and gives the buyer the reference they need to reclaim or account for that tax where their rules allow.
When a tax invoice is needed
Businesses that are registered for a sales tax typically issue tax invoices for their taxable sales, especially when the customer is another business that needs the detail for its own accounting. The document proves how much tax was charged and by whom.
A plain sales invoice may simply show a total, but a tax invoice must isolate the tax component. If your buyer needs to reclaim input tax or reconcile their books, the tax breakdown and your registration number are what make that possible.
What to include
Title the document clearly as a tax invoice and include your registration number where it is easy to find. List each item with its pre-tax price and quantity, then show the subtotal, the tax rate, the total tax, and the tax-inclusive grand total.
Add a unique invoice number and issue date. Where different items attract different rates, keep the breakdown clear so each rate and its tax are visible. Precision here saves both parties time when they reconcile their records.
Building one in Receipt Caker
Enter your business and buyer details, and put your tax registration number in the header or a note. Add each line item with its pre-tax price, then set your tax rate so the generator shows the tax as a separate line and adds it to the total.
The live preview confirms the layout before you export a free watermarked PNG or a Pro PDF with your logo. Receipt Caker only produces the document; it does not file returns, calculate what you owe the tax authority, or sync with accounting software.
