What is a petty cash receipt used for?
A petty cash receipt is a voucher that records a small disbursement from an office cash fund, such as buying stamps, coffee, or minor supplies. It documents who took the money, how much, and why, so the fund can be reconciled and topped up. Without these slips, the cash box would never balance and the spending could not be verified at audit.

How Petty Cash Works

Most offices keep a small float of cash for tiny expenses that are not worth writing a check or raising a purchase order for. Someone is put in charge of the box, and every time cash leaves it, a slip is filled out to account for the withdrawal.

That slip is the petty cash receipt. It records the amount removed, what it paid for, and who took it, so at any moment the cash on hand plus the slips should equal the original float.

When the box runs low, the custodian totals the slips, hands them to the bookkeeper, and receives enough cash to bring the fund back to its starting balance. The receipts are the proof behind that top-up.

What Goes on a Petty Cash Voucher

Every voucher should carry a date and a unique number so the slips can be filed in order and matched to the reconciliation. Skipping the number makes it far harder to spot a missing slip when the box does not balance.

Record the exact amount taken and a short but specific description of the expense: 'postage for client mailing' is far more useful at audit than a vague 'supplies.' Attach the store receipt to the voucher whenever one exists.

Finally, capture the name of the person who received the cash and, ideally, a signature. That single line turns an anonymous withdrawal into an accountable one.

Keeping the Fund Balanced

Reconciling petty cash is simple arithmetic: the cash remaining plus the total on all outstanding vouchers should equal the fund's fixed amount. When those two figures match, the box is balanced and the records are complete.

If they do not match, the vouchers help you trace the gap. A missing slip, a transposed number, or an unrecorded withdrawal usually surfaces quickly once you lay the receipts out in order.

Receipt Caker gives every voucher the same clean format, so a stack of them is easy to total and easy for a reviewer to scan when the fund is replenished.

Who Uses Petty Cash Receipts

Small businesses and startups rely on petty cash for the everyday odds and ends that keep the office running, and the receipts keep that spending visible instead of vanishing into an untracked drawer.

Clubs, classrooms, and community groups use the same approach for float money at events, recording each small payout so the treasurer can report exactly where the funds went.

Bookkeepers appreciate consistent vouchers because they map cleanly to expense categories, making the monthly close faster and the year-end review far less painful.

Häufig gestellte Fragen

What is the difference between a petty cash receipt and a regular receipt?
A regular receipt is issued by a seller to prove you paid them, while a petty cash receipt is an internal voucher your own office fills out to record cash leaving a small fund. The petty cash slip focuses on who took the money and why, and it is used to reconcile the box rather than to prove a purchase to an outside party.
Do I need to number my petty cash vouchers?
Numbering is strongly recommended. A running number lets you file vouchers in sequence and instantly notice if one is missing when the fund does not balance. It also makes reconciliation faster, because you can tick off each slip against the total. Receipt Caker includes a slip number field, so you can keep your vouchers in a clean, auditable order.
Should I attach the store receipt to the voucher?
Yes, whenever a store receipt exists. Stapling the original purchase receipt to your petty cash voucher gives you a complete record: the voucher shows the cash left the fund, and the store receipt proves what it bought and the exact price. This pairing is exactly what a reviewer or accountant wants to see at reconciliation time.
Can I use this for a classroom or club float?
Definitely. Any group that keeps a small pot of cash, from a classroom fund to a club event float, can use petty cash receipts to track payouts. The treasurer simply fills out a slip each time money leaves the tin, then totals the slips to report where the funds went. Receipt Caker's generic voucher format suits any organization.
Is there a watermark on the free version?
The free plan adds a small Receipt Caker watermark in a corner of the voucher, which keeps the tool free for everyone and does not cover your content. To produce clean, watermark-free vouchers, upgrade to Pro, which also unlocks PDF export and a custom logo. For most internal petty cash records, the free PNG is perfectly adequate.
