The three blocks of a sales receipt

Almost every sales receipt, from a corner-shop till roll to a printed A4 sheet, follows the same three-block structure. The top block identifies the seller: the business name, address and a phone number or email. The middle block itemizes what was sold, one line per item with a quantity and a unit price. The bottom block does the arithmetic — a subtotal, a tax line, the grand total — and then records how the customer paid.

How the numbers add up

The totals block is where a receipt earns its trust: the figures have to reconcile. In the sample the items are two notebooks at $9.00, one bottle of ink at $14.00 and two cards at $7.00, which subtotal to $46.00. An 8% sales tax adds $3.68, bringing the grand total to $49.68. Anyone reading the receipt can add the item lines and arrive at the same subtotal, then see the tax and total follow from it.

Keeping tax on its own line, rather than folding it into the item prices, is what makes the receipt readable and, in many places, legally correct. Change the tax rate and the builder recalculates the tax and total instantly, so the figures are never entered by hand.

Filling in the template

Start at the top: type your business name, address and contact where the sample shows Maple & Co. Then clear the sample items and add your own — a description, a quantity and a unit price for each. The subtotal, tax and total update as you type, so there is nothing to calculate yourself.

Set the payment method to match the sale. The sample records a card ending 4417; for a cash sale you would switch to cash and can show what was tendered and the change due. Give the receipt a number — the sample uses 10428 — so you can find this exact sale in your records later.

Format variations: form, sample and layout

People search for a sales receipt in several ways — as a 'form' to fill in, a 'sample' to copy, or a 'format' to follow — but they are all asking for the same thing: a correct, standard layout. This one template serves all three. As a form, it is a live sheet you type into. As a sample, the pre-filled Maple & Co. receipt shows exactly what a finished one looks like. The layout also adapts to paper width. The sample uses an 80mm width, the common thermal-till size; you can switch to a narrow 58mm roll or a wider sheet depending on how you plan to print or share the receipt.

Cash sales versus card sales

A single template covers both payment types because only the payment block changes. For a card sale, you show the card type and the last four digits, as the sample does. For a cash sale, you can display the amount the customer handed over and the change you gave back, which is useful proof for both sides at a market stall or pop-up.

Everything above the payment line — the header, the items, the subtotal and tax — is identical either way. That consistency is exactly why a standard format is worth using: your customers and your bookkeeping see the same shape every time.

Do I have to show sales tax as a separate line?
In most U.S. jurisdictions that charge sales tax, yes — the tax belongs on its own line between the subtotal and the total so the customer can see what was added. Can I use one template for both cash and card sales?

What is a good receipt number format?
Any short, unique string works — many businesses use a running number like the 10428 in the sample, or a dated prefix such as 2026-0428. The goal is simply that no two receipts share a number, so you can find a specific sale later. Set a starting number and increment it with each sale.
