What a car sale receipt template is for

When one person sells a used car to another, there is no store receipt printing at a register — the two parties have to create the proof themselves. A car sale receipt, often called a bill of sale, is that proof. It records who sold the car, who bought it, exactly which vehicle changed hands, what was paid, and the date. The buyer needs it to put the title in their name and register the car; the seller needs a copy to show they no longer own it if the car later turns up in a parking ticket or an insurance query.

This template lays out every field a private sale needs and fills it with a worked example so you can see where each detail goes. Replace the sample vehicle and names with your own, then download the finished sheet to print and sign.

Fill in the template step by step

Start with the header: put the seller's name and the buyer's name where the sample shows 'Seller' and 'Buyer'. In the first item line, describe the vehicle in full — year, make, model, trim and the VIN — exactly as the sample reads '2016 Honda Civic EX'. Precision here matters, because the VIN is what ties this receipt to the specific car on the title.

Put the agreed price on that same line; the sample uses $8,500. If any extras are included, such as the second key and mats priced at $60 in the example, give them their own line so the total is transparent. Set the payment method to match how the money moved — the sample records a bank transfer. Finally, use the footer for the odometer reading, the 'as-is' note and the two signature blanks.

The fields that make it valid

A bill of sale carries weight because it captures facts both parties agree to in writing. The non-negotiable fields are the full names and addresses of buyer and seller, the VIN, the odometer reading at the moment of sale, the price, the date, and both signatures. The odometer reading is important: federal law requires an accurate mileage disclosure on the transfer of most vehicles, and writing it on the receipt creates a shared record.

The sample shows an odometer of 74,210 miles in the footer and a receipt number, BOS-2041, so the document can be referenced later. A unique number is not legally required, but it makes the receipt easy to file and cite.

As-is sales and warranties

Most private car sales are 'as-is', meaning the seller offers no warranty and the buyer accepts the car in its current condition. The sample footer states this plainly. An as-is line protects a private seller from later disputes about a fault that appears after the sale — but it does not license hiding a known defect, so be honest about anything you are aware of.

If instead you are giving the buyer some assurance — say, that the car will pass a state inspection within a set number of days — delete the as-is wording and write those exact terms in the footer. Whatever you promise on the receipt is the promise both of you can point back to.

Deposits and paying in instalments

Sometimes a buyer leaves a deposit to hold the car and pays the balance on collection. The template handles this cleanly: record the deposit as the item price, then note the balance still owed in the footer. That way the single sheet shows what was paid today and what remains, and neither party has to rely on memory.

When the balance is settled, you can either issue a second receipt for the final payment or reprint the template with the full price and mark it paid. Keeping both records avoids any argument about whether the car was fully paid for.

Check your state's requirements

This template covers the fields nearly every U.S. state expects on a private vehicle bill of sale, but the exact rules vary. Some states publish their own bill-of-sale form, some require the odometer disclosure on a separate federal form for newer vehicles, and a few ask for the signatures to be notarized. Fill in this template for your records and for the buyer, then confirm your state DMV's checklist before the buyer registers the car so nothing is missing at the counter.
