What a bill of sale must include
A complete bill of sale names both parties with their full names and addresses, describes the item, and gives an identifying number where one exists — a VIN for a car, a HIN for a boat, a serial number for equipment. It states the sale price, the date, and how payment was made, and where the goods carry no warranty it adds an as-is clause so the buyer accepts the item in its current condition. Both parties sign, and some sales add a witness or notary line.
The identifying number is what separates a bill of sale from a plain receipt: it ties the document to one specific object rather than to a payment in general. Record it exactly as it appears on the item. If what you are selling has no serial number, describe it precisely enough to be unmistakable — make, model, colour, and any distinguishing marks. Selling a vehicle, boat, or equipment
Vehicles carry the most specific requirements. Most states want an odometer reading disclosed at the point of sale alongside the VIN, and some require the bill of sale to be notarised or to be their own state-issued form. Boats use a hull identification number rather than a VIN and may involve separate registration. Because these rules are set locally and change, check your state's DMV or registration authority for the exact form and wording before you finalise anything — the document the generator produces is complete, but your state decides the formalities that make a transfer stick.
For business equipment, a trailer, or other high-value goods, the same skeleton applies: parties, item, serial number, price, and condition, plus anything your particular sale calls for.
